Managing Stock and Sales
Introduction
In this section you will find the detailed explanations of what all the features are within the Stock/Sales tab of Eclipse Stock & Accounting.

Stock/Sales Tab
The Stock/Sales tab is broken down into 8 categories; Stock Tasks, Sales Quotes, Clients, Online Enquires, Maintenance, Reporting & Contact.
Stock Tasks
The Stock Tasks section has 3 options that are related to your stock.
Add Stock
The 'Add Stock' button is a quick way to add new, used or demo stock items into Eclipse. When you press this button the Stock Details screen will appear for you to enter & save all the stock item details into Eclipse.
Stock List
The 'Stock List' Button will bring up the Stock Lookup screen which is where all your stock lives. Through this screen you can perform all your searches on stock, edit stock details, view stock cards, add costs to a stock, bounce an item out of stock and sell stock.
Vehicle Hire
The 'Vehicle Hire' button takes you to the Vehicle Hire Lookup screen (only if you have this feature turned on). Through here you can manage everything related to the hire vehicles; add a new hire, process a hire, access all the vehicle hire paperwork and hire returns.
Sales Tasks
The Sales Tasks section have 4 options that are related to the managing sales.
Add Sale
The 'Add Sale' button will pop up the Sale of Stock Screen so you can get straight into selling a stock item.
Sales List
The 'Sales List' button will open the Sale Lookup Screen, which is where all your sales live. Through this screen you can manage all your sales by add, editing or viewing a saved sale. Through this screen you can also go through the process of Delivering, Finalising & even Un-Selling any deal.
Delivery Schedule
The 'Delivery Schedule button will bring up the Delivery Calender (only if you have this feature turned on). The Delivery Calender is used to see what deliveries have been estimated, approved, confirmed, delivered. There are also multiple ways you can view this screen.
RO Requests
The 'RO Requests' button takes you to the Service Repair Order Requests (only if this feature is turned on). This screen is where you can edit, view or print any of the RO Requests that have been sent from Stock & Accounting to Service.
Sales Quotes
The Sales Quotes section will only appear in your system if the system option has been turned on. There are 3 options under this heading that allow you to manage Sale Quotes.
Add Quote
The 'Add Quote' button will take you to the Quote screen. Through this screen you can enter all the details of the stock item you are quoting for the customer and save as a quote. You can also convert this quote straight into a sale at the click of a button.
Quote List
The 'Quote List' button will take you to the Sale Quote Lookup screen. Through this screen you can manage all your quotes by adding a new one, editing a current quote, even viewing or deleting a quote.
Quick Deal
The 'Quick Deal' button will bring up the Vehicle Deal Calculator screen. This screen is used to do a quick quote and visually seeing if there is any profit in the deal before you make it into a quote.
Clients
The Clients section can be accessed through most tabs in Eclipse and all the Eclipse modules. This section gives you 3 options under this client heading which are related to the management of your client list.
Add Client
The 'Add Client' button takes you to the Client Detail screen. This screen has been explained in detail on another page, please follow this link (Understanding The Client Detail Screen) to understand this feature.
Client Search
The 'Client Search' button takes you to the Client Search screen. Through this screen you can search any client by different criteria and it then allows you to do multiple actions related to this client. You can also see all service vehicles or stock vehicles linked to this client.
Client List
The 'Client List' button will bring up the Client Lookup Screen. This screen is where you can access all your clients in 1 simple screen. You can search, edit, add, delete and do multiple other things within this screen. Online Enquires
The Online Enquires section has 2 options for you to retrieve information all the required history and encumbered information of a stock item.
Carhistory.com.au
The 'CarHistory.com.au' button will open up the CarHistory.com.au Enquiries screen. Through this screen you can do a search on any stock item and it will retrieve a report for you which will be saved within your database for you to access and print at any time. PPSR
The 'PPSR' button will open up the PPSR Enquiries screen Through here you can do a PPSR enquiry on and stock item, the PPSR Certificate will be retrieved and stored in your database for you to access and print at ay time. Maintenance
The Maintenance section has 2 options which are related to the maintenance of Stock and Sales. A drop down menu with a list of features will appear when you press on either of these buttons.
Stock
The 'Stock' button will display a list of features related to maintaining your stock. Some of the features here are used to manage vehicle accessories, vehicle costs, load amounts and write up or write down stock.
Sales
The 'Sales' button will display a list of features related to maintaining your sales. Some of the features here are used to manage your sales extras, finance commissions and sale source setup.
Reporting
The Reporting section has 2 options that will allow you to view/print off multiple stock cards at once and access your police book.
Stock Cards
The 'Stock Cards' button will open up the Print Stock Cards screen. Through this screen you can select multiple stock items and view/print the stock cards all at once.
Police Book
The 'Police Book' button will open up the Police Book Report screen. Through this screen you can enter in a date range and view the police book report on your stock item's within the date range selected.
Contact
The Contact section has 3 options that will assist you with keeping in contact with your clients.
History
The 'History' button will open up the SMS Manager screen. Through this screen you can view the history of SMS's that have been sent to clients. You can also send SMS's to clients from this screen.
Contact Reminders
The 'Contact Reminders' button will open up the Reminder screen. In this screen you will see a list of all the outstanding reminders that have been set against clients. You can also dismiss a reminder or snooze a reminder for an allocated amount of time through this screen.
Dairy
The 'Dairy' button will open up the Personal Diary. Through this screen you can access all your follow up reminders, add new reminders or block time out of your calendar for other tasks. The Personal Diary works very similar to your Outlook diary. (the Personal Diary need to be activated through your system options)
