How to access the Debtor Reconciliation report


Navigate to the "Reports" tab & hit the "Reports" Button


Through the pop up report screen navigate to the to the financial tab.

Tick the "Show All Reports" tick box & the Debtors Reconciliation report will now be visible.

You can now select the reports Parameters, Sort Options & Grouping / Options before running the report.

Once you have set the parameters & options click OK to view the report.


Detailed description of report


The original intention of this report was to provide a daily movement of the debtors account.

This was done for the purpose of providing to a factoring company who were providing debtors finance.

All transactions are grouped by day.

The opening Balance Appears as an adjustment at the start of the period.

Parts, Service, Vehicle and Admin Invoices are broken down to client and invoice number.

Their transactions will appear under Gross Invoices, unless the daily total is for that invoice is negative, in which case it appears as a discount.

Any banking appears under money received.

Anything else appears as an Adjustment (eg Journals and Parts credit notes)


IMPORTANT : This is the only report in the system that can reference the “processing date” as opposed to the “transaction date”.

What this means is that all debtors transactions ignore the date that the user entered for the transaction, and instead uses the date that the transaction actually occurred.

The reason that this was done is that this report was provided to the factoring company at regular intervals, and the transactions was not allowed to change after report had been sent.

By using the processing date is meant that nothing was ever backdated. This however meant that when run in this mode, the balance would not tie up to any other figures in the system,

Since all other figures are based on transaction date assigned by the user.
